SCHOOL POLICIES

Cancellations/Make-Up Lessons/Rescheduling Policy:

At Chroma Music Studio, we understand that unforeseen circumstances may arise, requiring the cancellation or rescheduling of music lessons. We strive to accommodate our students' needs while maintaining an effective and efficient lesson schedule. To ensure fairness and clarity, we have established the following cancellation and rescheduling policies. Please note that any scheduling requests should not be made through teachers, but directly to Chroma Music Studio’s administration at (437) 473-0126 or info@chromamusicstudio.com. 

  1. Cancellation Policy: 
    1. Student Responsibility: It is the responsibility of the student or their parent/guardian to notify Chroma Music Studio of any lesson cancellations. We kindly request that cancellations be made at least 24 hours in advance. Prompt notification allows us to efficiently manage the lesson schedule and offer the vacant time slot to other students. 
    2. Lessons canceled at least 24 hours in advance will not incur any cancellation fees; however, insufficient notice may result in fees equivalent to the cost of the lesson. Students are allowed up to 3 cancellations without incurring any fees if proper notice is made.
    3. Make-up Credits: Students are allowed 3 make-up credits per year without incurring any extra fees if proper notice is made (24 hours in advance). Credits cannot be transferred to another student or into another year. 
    4. Emergency Situations: In case of unforeseen emergencies or extenuating circumstances, we understand that last-minute cancellations may occur. In such cases, please notify us as soon as possible, and we will assess the situation and determine if any exceptions can be made regarding the cancellation fee. 
    5. Teacher Cancellation: In case of unforeseen emergencies or extenuating circumstances for teachers, we will notify you as soon as possible about any teacher cancellations. In such situations, we will offer students the option to receive a full refund for the canceled lesson, schedule a make-up lesson (without losing make-up credits) with the assigned teacher, or have an available substitute teacher to fill in.
  2. Rescheduling Policy: 
    1. This rescheduling policy is for students that wish to permanently change their weekly lessons to another day, or update their lesson frequency.
    2. Rescheduling Requests: If a student wishes to reschedule their weekly lesson time, we encourage them to reach out to Chroma Music Studio at the earliest opportunity. Rescheduling requests are subject to instructor availability. 
    3. Rescheduling Limits: Each student is allowed up to 3 non-transferrable scheduling changes throughout the year. Any further rescheduling requests may be subject to additional fees or may not be accommodated based on instructor availability.
    4. Advance Notice for Rescheduling: To ensure adequate time for arranging schedules, we kindly request that rescheduling requests be made at least 48 hours in advance.


We appreciate your understanding and cooperation in adhering to this policy, as it allows us to maintain a fair and organized learning environment for all students. Missed Lesson Policy:

If a student misses a scheduled lesson without following our cancellation/make-up policy, a full lesson fee will still be charged due to loss of time and travel costs for our teachers. If a student cancels a make-up lesson, a full lesson fee will still be charged as make-up credits cannot be applied to make-up lessons.


Payment Policy

We strive to provide exceptional music education while ensuring clarity and fairness in our financial transactions. To maintain a smooth payment process, we have established the following payment policy:

  1. Payment Terms:
    1. Tuition Fees: Tuition fees are charged based on the duration and type of lessons selected by the student. Detailed information regarding the tuition fees for different programs and lesson types can be found in our current lesson rates.
    2. Payment Schedule: Payment for lessons is due in advance, typically on a monthly basis. Students and parents will be provided with a specific payment schedule upon enrollment.
  2. Payment Methods:
    1. Accepted Forms of Payment: We accept various payment methods including credit/debit cards, and electronic bank transfers. Specific payment options will be communicated during the enrollment process.
    2. Online Payment Portal: We provide an online payment portal to facilitate secure and convenient payment transactions. Students and parents will receive login information to access the portal.
  3. Late Payments:
    1. Late Fee Policy: Payments not received by the specified due date may be subject to a late fee. The late fee amount and grace period will be outlined in our payment schedule.
    2. Suspension of Lessons: Failure to make payment within the designated timeframe may result in the suspension of lessons until the outstanding balance is cleared. We encourage open communication if there are any difficulties in meeting payment obligations.
  4. Refunds and Withdrawals:
    1. Refund Policy: Refunds are generally not provided for missed lessons or withdrawals once the payment has been made. However, exceptions may be considered in certain circumstances, such as teacher unavailability/cancellation, dangerous weather cancellations, or prolonged illness. Requests for refunds should be emailed to info@chromamusicstudio.com for further review.
    2. Withdrawal Notice: To discontinue lessons, we require notice from the parent or legal guardian at least 30-days in advance. Failure to provide adequate notice may result in tuition fees for the notice period being charged.
  5. Fee Adjustments and Changes:
    1. Fee Adjustments: Tuition fees are subject to periodic review and adjustment. We strive to provide advance notice of any fee changes to allow for appropriate planning and budgeting.
    2. Program Changes: Changes in the student's lesson program (e.g., switching from individual to group lessons) may result in adjustments to the tuition fees. Such adjustments will be communicated and discussed with the student or parent prior to implementation.
  6. Confidentiality and Privacy:
    1. Payment Information Security: Chroma Music Studio takes the security and privacy of payment information seriously. All payment transactions and personal information will be handled in compliance with relevant data protection regulations.

In-home Safety Policy:

At Chroma Music Studio, the safety and well-being of our students and teachers are of utmost importance. We are committed to providing a safe and secure learning environment during in-home music lessons. At any time, if there are unsafe working conditions inside a home that may cause harm to our teachers or students, lessons will be terminated immediately until the dangers are fixed and/or removed. To ensure the safety of everyone involved, we have implemented the following safety policy:

  1. Background Checks and Screening: 
    1. All our teachers undergo thorough background checks and screening processes before joining Chroma Music Studio. This includes criminal background checks and reference verification to ensure the safety of our students.
    2. Teachers are required to provide valid identification and proof of qualifications and experience during the hiring process.
  2. Teacher-Student Interactions: 
    1. Professional Conduct: Our teachers are expected to maintain professional conduct and adhere to ethical guidelines when interacting with students.
    2. Boundaries and Appropriate Behavior: Teachers are responsible for maintaining appropriate boundaries and ensuring that their interactions with students are respectful and professional.
  3. Parental/Guardian Consent: 
    1. Prior to commencing in-home lessons, we require written consent from the parent or legal guardian of the student.
    2. Parental consent includes agreement to the In-home Safety policy and Lesson Safety and acknowledgment of potential risks associated with in-home lessons.
  4. Safe Learning Environment:
    1. Supervision: A parent, legal guardian, or authorized adult must be present in the home during the entire duration of the in-home lesson. 
    2. Distraction-Free Environment: We encourage students to designate a quiet, well-lit area in their homes for the lesson to minimize distractions and create an optimal learning environment. 
    3. Equipment Safety: Teachers will assess the safety and suitability of the student's instrument and ensure it is in good working condition.
  5. Emergency Preparedness: 
    1. Emergency Contact Information: We require up-to-date emergency contact information from parents or legal guardians to ensure prompt communication in case of an emergency.
    2. First Aid: Teachers will have access to a basic first aid kit during lessons.
    3. Emergency Procedures: Teachers will be familiar with emergency procedures, including contacting emergency services if necessary.
  6. Teacher Arrival Grace Period: We prioritize the health and safety of our teachers. Due to unpredictable traffic and weather situations, we ask students to please allow an extra 5-10 minutes grace period after the scheduled lesson time for the teacher to arrive at their student's home. Lessons may be canceled unexpectedly if there are dangerous weather/driving conditions that prevent our teachers from traveling to your home safely; in such circumstances, you will be promptly notified and our Teacher Cancellation policy will be followed.


Lesson Safety Policy:

This policy enables piano teachers and students to prioritize their safety by refusing work/lessons in the presence of unsafe behaviors or environments. It promotes open communication, confidentiality, and non-discrimination, ensuring a safe and respectful learning environment.

Safety Assessment:

Both piano teachers and students have the right to assess the safety of the lesson environment,

considering factors such as cleanliness, hazards, and adherence to safety regulations.

  1. Unsafe Behaviors and Environments:
    1. Unsafe behaviors include violence, harassment, substance abuse, or any action endangering physical or emotional well-being. Unsafe environments may have inadequate lighting, faulty wiring, excessive noise, or unsanitary conditions. At any time, if there are unsafe working conditions inside a home that may cause harm to our teachers, lessons will be terminated immediately until the danger is fixed and/or removed. Unsafe working conditions for our Teachers may include inhaling smoke, broken/slippery/dark entryways, and aggressive pets. 
  2. Right to Refuse Work/Lessons: 
    1. Piano teachers can refuse work if they believe their safety is at risk due to unsafe behaviors or environments. Students can refuse lessons if they perceive similar risks.
  3. Communication and Resolution: 
    1. Both parties should communicate their concerns promptly and respectfully to the Chroma administration, aiming to find alternate solutions. This may include adjusting the schedule or addressing the underlying concerns. If no satisfactory resolution is found, mediation or termination of the professional relationship may be considered.
  4. Confidentiality and Non-Discrimination: 
    1. All discussions regarding unsafe behaviors or environments should be confidential and respectful. No party should face discrimination or retaliation for raising concerns or refusing work/lessons based on legitimate safety concerns.
  5. Compliance: 
    1. All piano teachers and students must comply with this policy. Violations may result in disciplinary actions, including termination of the professional relationship or legal consequences if applicable laws are broken.
